Privacy Policy

What we collect when you use this website, why we collect it, and what we do with it. In plain English, because you shouldn't need a lawyer to understand what happens to your details.

Who we are

Archieva Shipping and Logistics is a freight forwarder based behind the MTN office, Community One, Tema, Ghana. We are the data controller for the information described here — meaning we decide what is collected and why.

What we collect

Only what you type into one of our two forms, plus a small amount of technical information that arrives with every request.

From the contact form: your name, email address, and your message.

From the quote form: your name, company (optional), email address, phone number, the service you need, origin and destination, target shipping date (optional), a description of your cargo, estimated weight and volume (optional), and any notes you add.

Automatically, with either form: your IP address, your browser's user-agent string, and the time you submitted. We include these in the email we receive so we can tell a genuine enquiry from automated spam.

What we don't collect

We don't set cookies. We don't run advertising trackers, and we don't build a profile of you across sites.

We don't ask for and have no use for payment card details, identity documents, or any special category data on this website. Please don't send them through the forms.

Why we're allowed to use it

For the quote form, you tick a box before submitting — that is your consent, and you can withdraw it at any time by contacting us.

For the contact form, we rely on the fact that you approached us and expect a reply.

For the technical details (IP address, user-agent), we rely on our legitimate interest in keeping the forms working and not being flooded with automated spam.

Where it goes

There is no customer database behind this website. Your submission becomes an email in our inbox, and that is the only copy we keep.

To make that work, a small number of service providers process your data on our behalf:

  • Resend — delivers the email carrying your enquiry to us.
  • Google — our inbox is Gmail, so your enquiry is stored on Google's servers for as long as we keep it. This is where your details actually come to rest.
  • Vercel — hosts the website and runs the code that handles your submission. Vercel's analytics are cookieless and do not identify you individually.
  • Upstash — briefly stores your IP address and a one-way fingerprint of your email and message so we can rate-limit spam and avoid sending duplicate emails when a submission is retried. These entries delete themselves automatically after five to ten minutes.
  • Sentry — if enabled, records technical error reports when something breaks. Form contents are stripped from these reports before they are sent.

The map on our contact page

Our contact page can show a Google Map, but it doesn't load one until you press the button. Nothing reaches Google before that.

If you do load it, Google receives your IP address and can set its own cookies, under Google's privacy policy rather than ours. You never have to: the address is written out in text beside the map, and it's the same address either way.

Sending data outside Ghana

The providers listed above operate servers outside Ghana, mainly in Europe and the United States. That means your enquiry is transmitted and stored outside the country. We use established providers with their own data protection commitments, and we only send what is needed to deliver and process your enquiry.

How long we keep it

The anti-spam records held by Upstash expire automatically within ten minutes.

We keep your enquiry for 24 months from your last contact with us, then delete it. If you go on to become a customer, the shipment records that follow are kept under the separate retention rules that apply to freight and customs paperwork, not this one.

You don't have to wait for that. Ask us to delete your enquiry at any point and we will remove it.

Your rights

Under Ghana's Data Protection Act, 2012 (Act 843), you can ask us what we hold about you, ask us to correct it if it's wrong, ask us to delete it, and object to how we're using it. If you gave consent, you can take it back at any time.

If you believe we have mishandled your data, you can complain to Ghana's Data Protection Commission.

Changes to this policy

If we change how we handle personal data, we'll update this page and change the date at the top. Material changes will be described here rather than made quietly.
